The difference between an assistant and a chatbot
Most AI added to business software answers questions about the software. That is a help centre with a conversational interface, and it is worth roughly what a help centre is worth.
A useful assistant answers questions about your business. Not how do I raise a purchase order, but which of my projects has committed cost running ahead of progress, and by how much. The difference is whether the model has access to your actual records.
What it is genuinely good at
- Summarising a month of activity into something a director will actually read
- Answering a specific factual question without anyone building a report
- Surfacing what changed since the last period, which is usually the interesting part
- Drafting a management commentary that a human then corrects rather than writes
Notice what these have in common: they are all retrieval and compression tasks over data that already exists. That is where current AI is reliable, and it happens to be exactly the work that consumes an analyst’s week.
What it is not good at, and should not be trusted with
It should not be making commercial decisions, and any vendor implying otherwise is overselling. It does not know your client’s payment behaviour, the reason a subcontractor is slow, or which of two suppliers will actually deliver in a difficult week. Those are judgement calls informed by context that is not in any database.
Garbage in still applies, and harder
An assistant grounded in your records inherits every weakness in those records. If attendance is not captured properly, it will report labour cost confidently and wrongly. If variations are not recorded at instruction, it will not know about them either.
This is worth stating plainly because AI makes bad data more dangerous rather than less. A wrong number in a spreadsheet looks like a wrong number. The same figure in a fluent, well-written summary looks like analysis.
Where it pays for itself
The clearest return is the monthly management pack. In most contracting businesses, one capable person spends the first week of each month assembling it. If the underlying records are good, that work becomes a generated draft plus commentary, and the person spends the week on the analysis they were previously too busy to do.
